Job Description
- Creates, maintains and updated vehicle asset maintenance information on the MEX software.
- Creates, updates and maintains a comprehensive Fleet management database in the NWVL SharePoint site with vehicle information, details of relevant vendor websites, parts listing as required including but not limited to vehicle records, including daily running sheets, third-party policies, and wheel tax, VIN details
- Maintains and updates a centralized company register for authorized drivers with valid licenses in collaboration with EHS and HR.
- Ensures that recommended vendors are compliant with all safety and LTA regulations and ensure inspections and certifications are performed on all necessary vehicles.
- Organizes and participates in new vehicle onboarding and arranges end user training if required at respective locations.
- Implements and performs basic routine inspections on vehicles to a routine schedule for all sites
- Validates parts and functional compatibility between vehicles already owned and new incoming vehicles for safety and optimum usage.
- Oversees/Assists with equipment oil sample results to ensure maximum efficiency and engine care as required
- Creates and maintains a working relationship with multiple vendors, obtaining vehicle status updates when being repaired and updates Work Orders, reports
- Communicates status of repairs, servicing and LTA passing with respective vehicle drivers and/or teams.
- Arranges servicing, repair quotes, bookings with service providers and ensures timely follow-up to reduce vehicle and operational down time
- Collaborates with AP Finance team for relevant payment requirements for servicing, LTA passing, R&M and any other payments required.
- Conducts monthly vehicle audits for LTA compliance and organises vehicle preventative inspections to minimise disruptions to operations.
- Records and addresses driver complaints around vehicle performance, ensuring timely service check-ups
- Supports the Maintenance Planner and/or EHS with accident reports, tire replacement, vehicle movement, and servicing reports as required.
- Supports organizational philanthropic, quality, safety, people and environmental initiatives throughout the site.
Qualifications
- Certificate or diploma in Transport, Logistics, Fleet Management, or a related field preferred.
- Trade Certificate in Motor Vehicle maintenance is an advantage.
- Minimum of 2-3 years of experience in fleet coordination within the trucking or transportation industry.
- Strong planning abilities with attention to detail.
- Knowledge of regulatory requirements and safety standards applicable to Fiji LTA requirements
- Experience in using a fleet management software and MS Office Suite.
- Excellent communication skills and ability to collaborate effectively with internal teams and external stakeholders.
- Valid driver's license(2,3,4,5,6,7,8,9) is an advantage
